About ACE Kids

ACE Kids Registration

Students may take classes at any school. All youth registrations must be made online. It is important that you update your child’s grade, school, and dismissal information, as well as list any health/behavior concerns in our system that will help the teacher. We want every student to have a positive learning experience so please make sure your child shows an interest in a class before enrolling.

Logistics

For K-5 students, an ACE staff member will gather children after school and escort them to class. At the end of their ACE class, students are dismissed according to the plan you select when registering (walk/pickup/afterschool). If you are picking up your child, please be prompt; late fees apply. Students at Gibbs and Ottoson will receive a classroom assignment a few days before class and may dismiss themselves.

Special Considerations

Our programs are equal access. We do not discriminate against children with disabilities. We do not have access to IEPs, therefore, we encourage parents to disclose any medical or disability-related needs in the Special Needs section in their child’s online profile—more is better than less, set them up for success. We encourage parents to disclose any medical or disability-related needs in your child’s online profile. If you believe your child requires a specific reasonable accommodation for medical or disability-related needs, please contact our office to discuss your child’s needs at least two weeks prior to start. Please note that ACE programs are not school-sponsored special education programs, so children are not entitled to the same IEP services and accommodations during programming.

Life Threatening Allergies

There is no nurse/medical staff on duty during ACE Kids classes. If your child has a life threatening allergy, please be sure to let us know in the online profile. Your child will need to have an EpiPen AND a copy of your childʼs Anaphylaxis Emergency Plan or Health Care Plan (paperwork that you give to your childʼs school nurse) that has been completed by their health care provider and indicates that you give permission for the ACE Kids staff to administer the EpiPen in the event of an emergency.

Behavior Policy

Children who attend our programs should be able to participate in group activities with teacher supervision and treat fellow students and staff with respect. If a child is unable to do so, the teacher or director will contact parents to discuss appropriate next steps.

Tuition Assistance

Partial tuition assistance is available for many youth classes for APS students who receive free or reduced lunch. Please email us with a copy of your free-lunch form before registering.

Withdrawals*

Email withdrawal requests to CommunityEd@arlington.k12.ma.us during our business hours (Monday–Friday, 9am–4pm); requests that come outside of those hours will be considered on the following day. There are no credits or refunds once a class has started, for student absences and/or late arrivals. Credits may be used within two years by anyone in your family.

  • Before 10 business days (Monday–Friday): you will receive a refund less 10%
  • Before 5 business days (Monday–Friday): you will receive a credit less 20%
  • Less than 5 business days (Monday–Friday): no refunds or credits.

*NOTE: SummerFun and VacationFun have separate cancellation/withdrawal policies.

Cancellations

ACE reserves the right to cancel classes due to low enrollment or other considerations. If we cancel your class, you will receive a full refund to your original form of payment.

If the Arlington Public Schools are closed during the day due to holiday, school vacations, or inclement weather, ACE classes will not be held. If school is in session and weather becomes inclement during the day, cancellations will be posted on our website, emailed, and texted (to those who opt in).

If your class is cancelled, we will notify you of make up dates as soon as possible. We cannot offer refunds for weather-related date changes. Online classes will typically run in inclement weather.
