ACE Kids Important Information
ACE Kids Registration
All youth registrations must be made online. We want every student to have a positive learning experience, so please make sure your child shows an interest in a class before enrolling. Students may take classes at any school; however, ACE does not provide transportation.
Arrival & Dismissal
For K-5 students, an ACE staff member will gather children after school and escort them to class. After class, students are dismissed according to the plan you select when registering (walk/pickup/ afterschool). If you are picking up your child, please be prompt; late fees apply. For classes at Gibbs and Ottoson, a class location will be included in an automated Course Reminder email that is sent two days before the class. Grades 6 and up are dismissed without an adult.
Student Information
ACE Kids is an equal access program and does not discriminate on the basis of disability. Our programs are not school-sponsored special education services, so the specific accommodations or services a student receives during the school day may not be available in this setting. However, we will work collaboratively with families to identify reasonable modifications that allow for safe and meaningful participation, consistent with program structure, staff qualifications, and applicable laws.
If your child may require a specific accommodation or support, please contact our office as early as possible, ideally at least three weeks before the start of the program, so we can learn about your child’s needs and discuss what supports may be appropriate.
Life-Threatening Allergies
There is no nurse or medical professional on duty during ACE Kids classes. If your child has a life-threatening allergy, please be sure to let us know in the online profile and speak directly with the office before the first day of the program. Children who may require emergency medication (such as an EpiPen) must have: The prescribed EpiPen on site each day, AND a current copy of your childʼs Anaphylaxis Emergency Plan or Health Care Plan completed by their licensed health care provider. The plan must include parent/guardian permission for trained ACE Kids staff to administer the EpiPen in the event of an emergency.
Families are responsible for providing the EpiPen and ensuring it is replaced before the expiration date. Staff will review emergency plans and be trained to respond if an allergic reaction occurs.
Behavior Policy
Children should be able to participate in group activities with teacher supervision and treat fellow students and staff with respect. If a child is unable to do so, the teacher or director will contact parents to discuss appropriate next steps.
Tuition Assistance

Withdrawals*
- 10+ business days before first class: Refund or credit less 10% (max. fee $25)
- 5–9 business days before first class: Refund or credit less 20% (max. fee $35)
- Fewer than 5 business days before first class: No refunds or credits
Email withdrawal requests during our business hours (Monday–Friday, 9 am–4 pm) to CommunityEd@arlington.k12.ma.us; requests received outside of these hours will be considered the following business day. There are no credits or refunds once a class has started.

Cancellations
ACE reserves the right to cancel classes due to low enrollment or other considerations. If we cancel your class, you will receive a full refund to your original form of payment.
If the Arlington Public Schools are closed during the day due to holidays, school vacations, or inclement weather, ACE classes will not be held. If school is in session and weather becomes inclement during the day, cancellations will be posted on our website, emailed, and texted (please opt in for text!).
If your class is cancelled due to weather, we will make every effort to reschedule a make-up date. We cannot offer refunds or credits for weather-related changes. Online classes will typically run in inclement weather.
